Weekly e-Tip No. 24 – A quicker way to unarchive Lotus Notes Mail

With only days left to save important Lotus Notes Mail, we need to save as much time as possible so we can get those messages forwarded or converted to Adobe PDF.

Whether you convert to PDF or use the Systools, you need to unarchive messages that are more than two years old, otherwise they will not be readable.

Those messages are indicated with a CD icon next to the date/size columns. Those messages are actually stored on another server but when opened, will be removed from the archive server.

System limitations

Unfortunately, there is not a way to open or unarchive all mail at once without causing problems with the Lotus Notes server.

Since you can only open 10 messages at a time, it is recommended that you use your cursor key to quickly arrow down your list of messages to “unarchive” those messages while your Preview Pane is on. Click Show > Preview on Bottom) or you can drag the lower border of the window up so you can see the message.

Clicking on the archived message allows you to read it. If you see only code, you may have to double click to open the message.

Something to keep in mind

Be careful about unarchiving more messages than you’ll be able to convert in one day, as they could get archived overnight and you’ll need to unarchive all over again.

ITS will offer a drop-in session today from 1 to 3 p.m. for more individual help and step-by-step instructions on how to convert Lotus Notes Mail to PDF.
