Photo IDs to be used in Office 365 applications

Office 365 apps now include the same image that appears on med center colleagues’ ID badge, as part of an initiative by Information Technology.

Photos began to be automatically implemented into Office 365, which include Workday, Zoom and Microsoft products, over the weekend. It is part of an effort by IT to help reduce misdirected emails, as well as enhance the identification of colleagues.

“Properly identifying users is the first step in ensuring system safety for the organization,” said Lisa Bazis, chief information security officer for UNMC and Nebraska Medicine. “By automating this process with the Photo ID Office, we are ensuring the identification of people is consistent across all systems.”

The photos are being sourced from the Photo ID Office; however, if someone already uploaded a photo into Office 365, it will not be overwritten at this time. Photos can take several days to update and refresh.

Some of the benefits of automating photos into these apps include:

  • Seeing a colleague’s photo can help recall a conversation with them and put a name to a face when in meetings over the phone or virtually.
  • Easily identifies who is speaking during virtual meetings.
  • Helps colleagues recognize one another ahead of a meeting in person for the first time.

    Knowing that employees had no choice in the matter, at no cost to the employee, we should be given the opportunity to have our photo IDs retaken.
