Weekly eTip – How much space is left in my email?

How can I tell how much space I have left in my UNMC email? If I reach my maximum, can I still send and receive messages?

Everyone with a UNMC account receives 2 GB (2048 megabytes or 2,048,000 kilobytes) space for email. Here is a link to convert computer storage units. You will get warnings when you reach 1.5 MB, as well as when you hit your 2 GB total. Once you have used your entire space, you will no longer be able to send messages. You will receive a visual cue that you are over quota and need to clean up. You will continue to receive messages but you will need to delete before you can send any messages.

The easiest way to find out your email size is from Outlook Web Access (OWA). Just hover over your name in the left navigation pane. It will show your total usage. However, you can also see how much total space you’re using as well as the size of individual folders using the client versions:

  • In Outlook 2010 select File > Info > Clean Tools > MailBox Cleanup – View Mailbox size and click the Server Data tab, and it will be listed next to the Total Size (including subfolders)
  • In Outlook 2007 select Tools > MailBox cleanup – View Mailbox size and click the Server Data tab and find the number next to Total Size (including subfolders)
  • With both Outlook 2010 and 2007, you can also right click on your mailbox name and select Properties and select Folder Size and select the Server tab to find the total size.
  • In Outlook 2011 (Mac) right click (Ctrl+Click) on the Inbox and select Folder Properties. Click the Storage tab.

You can use sort options to find the largest messages. The easiest way to sort is to right click on the “Arrange by” heading above your messages and select size or attachments.
