Weekly e-Tip – No. 11

ITS will provide weekly e-Tips to help employees prepare for the new Outlook email system.

Tip No. 1 — Access Outlook now

ITS recommends UNMC staff and students set up their Outlook mail prior to March 6. This will assure that you can access mail when all mail is routed to Outlook on March 6.

In addition, if people send messages in Outlook by selecting individuals from the Outlook address book prior to March 6, the messages will stay in Outlook and not be routed to Lotus Notes. So you might have some mail waiting for you in Outlook.

So remember, before March 6:

  • Messages sent from Outlook to Outlook stay in Outlook
  • Messages sent from Lotus Notes to Lotus Notes stays in Lotus Notes.

After March 6:

  • All new mail routes to Outlook
  • Old mail will remain in Lotus Notes until early June.

Tip No. 2 — Calendar features

You will find several new features of Outlook’s calendar that are different from Lotus Notes calendars, including:

  • You can view several calendars side by side in all Outlook versions and overlay calendars with Outlook 2007 and 2010;
  • You can customize colors and categories of individual calendar entries using the categorize button;
  • You can select more than one day to view by dragging on the date picker or by holding the “Ctrl” key while clicking on the dates; and
  • You can open a new window for a calendar or mail so that you can view mail and calendars separately but on the same screen (right click on the calendar and select Open in New Window).

  • Wednesday — 1 to 2 p.m. in the Sorrell Center, Room 1005; and
  • Thursday — 1:30 p.m. to 2:30 p.m. in the Durham Research Center, Room 1004.
