ITS will provide weekly e-Tips to help employees prepare for the new Outlook email system.

This week’s e-Tip — Synchronize Contacts

As mentioned in a prior e-tip, ITS announced that in order for your contacts to be migrated to Outlook, you must have your web and client contacts synchronized.

If you do not synchronize your contacts prior to the email conversion (March 6), you will need to re-create your contacts and groups in Outlook.

For those who use Lotus Notes Web mail only, your contacts will be migrated automatically.

To synchronize your Lotus Notes contacts in Notes Web Client, it is a three step process:

  • First, go to “File” > “Preferences” > “Contacts” and place a check next to “Enable Synchronize Contacts on the Replicator.” You can also find this option from “More” > “Preferences” > “Access” and “Delegation” tab. On a Mac, you will find it on “Lotus Notes” > “Preferences” > “Contacts.”
  • The next step is to start the replication by clicking on the “Replication and Sync” button on the Open button (or on the shortcut bar if the Open button has been docked on the left side. The replicator button appears as to curved arrows).
  • With the replication and sync window open, verify there is a check under “Enabled” check box next to “Synchronize contacts” and click “Start Now.” You may also want to set up a schedule to synchronize your contacts so that any future contacts you create before the “go live” conversion will be migrated.
  • If you do not see the same screens mentioned above, you may need to contact the Helpdesk and they will walk you through some other options or arrange to have a workstation person assist.
